How do I get a list of employees out of ASCENDER?
Short answer
If you want to choose your own columns, use the User Created Report (HRS9000), at Payroll > Reports > User Created Report (it is also under Personnel > Reports > User Created Reports). You pick the fields you want, check Active Employees Only if you want only active staff, and save the result as CSV.
If you want a ready-made list with addresses, run HRS1000 - Roster of Personnel or HRS1100 - Employee Verification Report.
Which report for which list
| I need | Report | What the documentation says |
|---|---|---|
| My own choice of columns, in a spreadsheet | HRS9000 - User Created Report | You select fields from sections including Employee Demographic, Employment, Pay Information, Job Information, Distribution and Deductions, then save as PDF or CSV. |
| Every employee, active and inactive, with an address | HRS1000 - Roster of Personnel | "a list of district employees (active and inactive)." Prints the primary or alternate address, and the primary job code if you ask for it. |
| Employment dates, salary and address | HRS1100 - Employee Verification Report | "detailed employee data such as employment dates, salary, address, and other information." |
| Pay and contract detail, including leave | HRS1250 - Employee Data Listing | "a detailed listing of employee pay and contract information including leave information." |
| Only people paid during a date range | HRS1250 - Employee Data Listing | The From and To Pay Date parameters limit the list to employees who were paid in that range. |
The detail
Active or inactive only. HRS1000, HRS1100 and HRS1250 all have a Pay Status parameter: Active (A), Inactive (I), or blank for both. On the User Created Report, the control is the Active Employees Only checkbox.
Employees from a past year. HRS1250's From Pay Date and To Pay Date narrow who is on the list. ASCENDER is explicit that they are "used to limit the employee selection to include only those employees who were paid during the selected pay date range ... and not to select data to be included in the report." The HRS1250 documentation does not list an address among what it prints, so for addresses of people paid in a past year, you may need HRS1250 for the names and HRS1000 or HRS1100 for the addresses.
Information restricted from view. HRS1000 and HRS1100 have a Select Restriction parameter. Local (L) leaves out information restricted from local view, Public (P) leaves out information restricted from public view, and No restrictions (N) prints everything.
Field access on the User Created Report. The Certification, Responsibility and Employment sections only appear if you have security access to them in Personnel.
CSV export. CSV "is not available for all reports," and when a report is exported to CSV, "the report headers may not be included."
Email addresses. None of these report pages lists an email column. The User Created Report help page names its field sections but not the individual fields in each, so this page does not say whether email is one of them.
