How do I run a trial balance in ASCENDER?

Short answer

Run FIN3250 - Trial Balance, at Finance > Reports > Finance Reports > Summary/Miscellaneous Reports > Trial Balance. It shows the actual amounts and year-to-date totals for every account in the accounting period you pick, and it is the report ASCENDER says to use to check that the month is in balance before you close the period.

If you need the trial balance for the audit, with the FASRG schedules, run FIN3200 - Working Trial Balance instead.

The detail

FIN3250 has five parameters. The first four are required.

Parameter Options What it does
Accounting Period Current (C), Next (N) C includes the current year accounting period. N includes the next year accounting period.
Include Object Code 3700 Y / N Y includes object code 3700 accounts.
Include Object Code 4310 for Student Activity Fund Y / N Y includes object code 4310 for student activity fund accounts.
Display blank Adjustments column Y / N Y adds a blank Adjustments column to the report.
Select Fund(s) Fund numbers with fiscal year, e.g. 161 / 8,199 / 8, or blank for all Narrows the report to specific funds.

Year-to-date totals run up to and including the accounting period you select.

When to use FIN3200 instead

FIN3200 - Working Trial Balance is at Finance > Reports > Finance Reports > Summary/Miscellaneous Reports > Working Trial Balance. ASCENDER describes it as the report "used to print a trial balance and the schedules required by the audit section of the Financial Accounting Resource Guide, including the mandated programs schedule."

Set Main report (1) or the rest of reports (2) to 1 for the main Working Trial Balance, or to 2 for the other reports: Exhibit A-3 (Actual Only and Budget Only), the Revenues and Other Resources Schedule, the Total Expenditures and Other Uses Schedule, the Program Intent Code Schedule, and Governmental and Proprietary Funds Exhibits 4-A through 4-D. You pick which of those print with a Y/N parameter for each. It also needs an As of Date (MMDDYYYY).

One setup requirement: for FIN3200 to display properly, a fund type must be set up in Tables > Account Codes > Fund.
