Why aren't payroll deduction checks showing on my ASCENDER check register?

Short answer

The ASCENDER check register has a required parameter, Include Payroll Deduction Checks? (Y/N). If it is set to N, payroll deduction checks are excluded from the report. Set it to Y and re-run.

The report is FIN1250 - Check Register, at Finance > Reports > Finance Reports > Journals, Checks, Detail Ledgers > Check Register.

The detail

FIN1250 "displays a list of all checks that have been issued including all district-written checks and all computer checks that have already been printed." It is meant for verifying entries for district-written checks and verifying computer checks after printing.

Every parameter below is required, and three of them silently exclude whole categories of checks:

Parameter Options What it does
Accounting Period Current (C), Next (N) C includes the current accounting period; N includes the next one.
Sort by Fund/Check Nbr (F), Bank Acct (B), Check Nbr (C), No Detail (D) D sorts by check number without account details. Use that one for board reports or uploading online.
Include Payroll Deduction Checks? Y / N N excludes payroll deduction checks. This is the usual cause of the missing checks.
Include Voided Checks? Y / N / Voided only (V) V returns only voided checks.
Include Transfer Checks? Y / N N excludes transfer transaction checks.

Two other things that will make checks disappear from this report:

  1. Account code masking. Report information is displayed based on the masked account codes set in the User Profiles table for the logged-on user. If your profile masks the funds the checks were written from, you will not see them, and the report will not tell you that anything was filtered.
  2. You may want a different report. FIN1250 runs against an accounting period. If you are looking for checks across a whole year, including unprocessed transactions, use FIN1800 - Year-to-Date Check Register List instead. See the related page below.
